What You’ll Be Doing
As a Workplace Occupancy & Space Planner, you will join our on-site team and work alongside the occupancy and space planning lead at a client location. You will manage occupancy data, translate business demand into actionable insights, and support occupancy strategies across a complex, multi-building campus.
The role combines occupancy planning, workplace analytics, space utilization, scenario planning, and CAFM/IWMS administration. You will maintain supply-anddemand data, develop reporting and dashboards, support block and stack planning, and inform decisions about capacity, allocation, moves, and future space needs.
As an embedded resource, you will represent MovePlan while partnering with client business units, Facilities, Real Estate, Human Resources, Finance, IT, project teams, and vendors to connect data, workplace strategy, and operational delivery.
The position requires an on-site presence in Gaithersburg and Rockville, Maryland, with occasional work-from-home opportunities. Travel between campus buildings and occasional night or weekend work may be required for moves or field activities.
You will be part of a MovePlan team delivering high-quality, value-added occupancy, workplace, and move management services. Your Responsibilities
Your responsibilities will include, but not be limited to:
Occupancy Data Management: Maintain accurate occupancy data, including headcount, organizational assignments, seating capacity, vacancies, departmental allocations, and workplace attributes.
Supply-and-Demand & Forecasting: Maintain and analyze supply-and-demand models using current occupancy, headcount forecasts, growth, attrition, hybridwork, utilization, and business planning inputs. Coordinate forecast data collection and reconciliation, identifying gaps and inconsistencies.
Reporting, Dashboards & Utilization: Prepare recurring and ad hoc reports and dashboards using Excel, Power BI, and other tools. Analyze utilization, availability, vacancy, density, allocations, trends, risks, opportunities, and capacity constraints.
CAFM/IWMS & Data Governance: Support CAFM/IWMS administration, including space records, floor plans, organizational assignments, occupancy attributes, reporting structures, and workflows. Maintain data standards, validation processes, controls, and documentation.
Field Verification & Asset Tracking: Conduct periodic field surveys to validate seating, occupancy, floor plans, departmental assignments, assets, and space conditions; support furniture, equipment, and inventory tracking.
Move & Project Support: Support moves, restacks, churn, communications, schedules, issue tracking, vendor coordination, project documentation, action logs, and other administrative deliverables.
Stakeholder Engagement: Build effective relationships, gather requirements, clarify assumptions, communicate findings, and present planning information clearly to business partners and service providers.
Process Improvement: Identify opportunities to improve data collection, reporting, forecasting, systems, workflows, and occupancy planning services. The Environment
This role is part of an established team providing occupancy planning, workplace strategy, space planning, and move support for a pharmaceutical client with a dynamic, multi-building campus in Gaithersburg and Rockville, Maryland, serving more than 5,000 occupants.
As an embedded resource, you will work directly with the client’s site operations team and build trusted relationships with business partners, facilities and real estate stakeholders, leaders, project teams, and vendors. You should be comfortable with changing priorities, complex data, multiple stakeholders, and evolving workplace needs.
You must be flexible, self-motivated, organized, and comfortable working on-site, with occasional evening/weekend support and travel between campus buildings. Essential Qualifications and Skills
You should have the following experience and capabilities:
Occupancy & Space Planning: Experience in workplace occupancy or space planning, corporate real estate, facilities planning, workplace strategy, or a related discipline.
Data, Analytics & Reporting: Experience working with complex datasets, integrating sources, identifying data quality issues, analyzing trends, and producing occupancy reports, capacity analyses, utilization metrics, dashboards, and management-level presentations.
Supply-and-Demand & Scenario Planning: Experience with headcount forecasts, space demand models, capacity assessments, allocation strategies, block/stack and adjacency plans, and evaluating alternative workplace scenarios.
Excel and Power BI: Advanced Excel skills, including data cleansing, pivot tables, lookups, formulas, data modeling, and analytical reporting. Power BI dashboard and visualization experience is strongly preferred.
CAFM/IWMS & Data Governance: Experience using or maintaining a CAFM/IWMS, workplace management, occupancy, or asset system, plus an understanding of data definitions, validation, reconciliation, documentation, and quality assurance. Strong systems aptitude and ability to learn new platforms will also be considered.
Communication & Coordination: Strong written and verbal communication skills, with the ability to explain analytical findings to technical and nontechnical stakeholders and coordinate multiple activities, stakeholders, deliverables, and deadlines.
You should also demonstrate the following professional attributes:
Strategic and critical thinking with strong analytical and problem-solving skills
High attention to detail and commitment to data accuracy
Ability to manage multiple priorities with strong organization, follow-through, and accountability
Self-motivation, initiative, and adaptability
Collaborative working style and ability to influence through evidence-based recommendations
Professional judgment and discretion with business and workforce information
Desirable Qualifications and Skills
It would be favorable, but not required, to have:
Space Planning Tools & Design: Experience with AutoCAD, Revit, Archibus, iOffice, Manhattan, Planon, Serraview, FM:Systems, or similar tools, and/or developing test fits, layouts, seating plans, adjacency studies, or workplace standards.

Process Improvement & Automation: Experience with workflow optimization, data automation, reporting standardization, Power Query, Power Pivot, SQL, data integration, or dashboard automation.
Stakeholder Facilitation: Experience leading workshops, gathering requirements, resolving competing priorities, or facilitating planning decisions.
